Job Summary

GREAT OPPORTUNITY FOR AN EXPERIENCED COMMUNITY ASSOCIATION MANAGER TO TRANSITION TO COMMERCIAL PROPERTY MANAGEMENT AS AN ASSISTANT COMMERCIAL PROPERTY MANAGER is to assist the property managers in effectively managing the assigned residential condo associations and commercial properties. In the property manager’s absence, the ASSISTANT PROPERETY MANAGER will assume all responsibilities associated with accomplishing property objectives as set forth by the managing director and the property owner. In addition, the ASSISTANT PROPERTY MANAGER is directly responsible for maintaining daily, weekly, and monthly financial reports including accurate reporting of rents and deposits received. MUST HAVE A CAM LICENSE.

Duties and Responsibilities

Operations:

  • Assists with resident/tenant communication.
  • Performs onsite inspections weekly or monthly as necessary.
  • Assists with enforcing lease requirements.
  • Coordinates annual inspections for fire alarms, RPZ, elevators, roofs, etc.
  • Assists in the coordination of acquiring bids for budgeted projects and capital projects.
  • Assists with property emergencies as they arise.
  • Assists with liability mitigation and producing incident reports and coordination with insurance carrier when necessary.
  • Manage client specific accounts.
  • Physically inspects property regularly; and reports any service needs to maintenance staff or service contractors. Will also inspect move-ins/move-outs and vacancies as needed.

Bookkeeping:

  • Ensures tenant ledgers are accurate. Issue appropriate notices when necessary (e.g., late payments, 5-day notices, returned check correspondence).
  • Assists in the production of the monthly reporting package to clients.
  • Assists with annual budget preparation for each property.
  • Assists with annual CAM reconciliations for each property.

Administrative:

  • Answers and handles incoming phone calls from current tenants, vendor/suppliers, etc.
  • Maintains awareness of local market conditions and trends. Contributes ideas to manager for marketing community and improving tenant satisfaction.
  • Updates data on AppFolio concerning move-out notices, activity, etc., on a daily basis and provides information to the manager.
  • Organizes and files all applicable documents on company’s Dropbox.
  • Proofreads all leases, processes move-ins and move-outs.
  • Accepts service requests from tenants and routes to maintenance contractors for prompt processing. Conducts service follow-up with tenant when work is completed.
  • Assists with preparation of board meetings for condo associations.

General:

  • Performs any additional duties assigned by property manager or managing director.

Qualifications:

  • Must have a Community Association Manager (CAM) license.
  • Position requires at least 2 years experience in residential condo property management.
  • High school diploma or equivalent.
  • Must have basic computer knowledge.
  • Must have a reliable automobile and valid driver’s license and automobile insurance.
  • Minimum 40 hours per week with flexible work week.
  • Must be able to work in a fast-paced and customer service-oriented environment.
  • Performs duties well under pressure and meets deadlines in a timely manner.
  • Works as part of a team, as well as completes assignments independently.
  • Takes instructions from supervisors.
  • Exercises problem-solving skills.
  • Interacts with co-workers, supervisors, clients, guests and the public in a professional and pleasant manner.
